Inquiry preparation guide

What to Check Before Sending a Product Inquiry

A useful inquiry gives the other party one item, one scenario, and a short list of facts to confirm. It also gives you a reply that can be compared without relying on chat memory.

One outcome

Know the decision behind the message

Before writing, finish this sentence: “I can keep or remove this result once I know…” The answer might be an item-specific measurement, whether colors may be mixed, the packed dimensions, or which page controls payment protection. A message without a decision question tends to collect general reassurance instead of comparable facts.

A comparable request

Build a one-item brief

FieldWhat to include
ItemExact URL, title, product code, and a dated screenshot or saved reference when useful.
VariantColor, size, material, configuration, and required included parts.
QuantityTest quantity, preferred mix, and the unit to which the minimum should apply.
Evidence neededSpecific measurement, detail angle, function check, or packaging view.
PackingUnit and packed weight, dimensions, carton count, and restrictions to confirm.
Destination contextCountry or region and any route constraints the responsible service needs.
Reply formatNumbered answers in the same order, with currency, units, and date.

Commercial context

Keep price and quantity as separate facts

  • What exact item and variant does the quoted price cover?
  • What currency and unit of sale are being used?
  • Which quantity tier applies to my requested number?
  • Does the minimum apply per style, color, size, carton, value, or run?
  • May variants be mixed within the minimum?
  • Are packing, delivery, service, taxes, or payment costs included or excluded?
  • How long is the quote intended to remain valid?

Ask a verifiable question

Request measurement and QC evidence you can read

Ask for the exact measurement point or detail that affects your decision. Specify the item, the measuring method, and what must be visible in the frame. “Please show the insole length from heel to toe with both endpoints visible” creates more usable evidence than “Please confirm the size is correct.”

  • Same item and variant as the inquiry
  • Full measurement or test setup visible
  • Readable endpoints, number, label, or result
  • Useful lighting and focus
  • Any tolerance or limitation stated separately
  • No claim that a photo alone proves authenticity or seller reliability

Shipping context

Prepare shipping questions before requesting a total

Ask forReason
Unit weightUseful for checking the item record, but not a shipment quote.
Packed weightIncludes the packaging used for the quoted quantity.
Packed dimensionsHelps the responsible carrier or service calculate dimensional weight.
Carton countExplains whether the quantity changes the shipment structure.
Restricted contentsBatteries, liquids, magnets, materials, and local rules may affect available routes.
Destination and service levelA quote without these fields may not describe your intended route.

Clear, short, numbered

Use a message template you can adapt

Hello. I am comparing one item and would like numbered answers for the exact link and variant below. Item: [URL/code]. Variant: [color/size/configuration]. Quantity: [number and mix]. Please confirm: 1) price basis and currency, 2) MOQ rule, 3) requested measurement or evidence, 4) packed weight and dimensions, 5) included parts, 6) timing and the responsible transaction terms. Please note anything that is not yet confirmed.

Remove questions that do not affect your decision. Add category-specific details instead of sending the same long message for every item.

A reply is evidence, not a conclusion

Compare the reply field by field

  • Every answer clearly refers to the same item and variant.
  • Numbers include units, currency, quantity basis, and date.
  • Photos or measurements answer the requested question.
  • Missing facts are labelled missing rather than replaced with reassurance.
  • Packing and delivery context are separated from item price.
  • Payment, protection, refund, and service terms come from the responsible party.
  • Any changed answer is recorded instead of silently replacing the earlier one.

Preserve the context

Keep a dated comparison note

A dated note helps when a page, price, contact, or link later changes. It does not prove the answer remains current; it shows what was communicated at that time.
